Finding your way

The header and the menu

The dark header has the menu button (☰), the company’s name (which takes you back to the Role Center), a G button that searches records, the bell for Notifications, and your user button with Profile, About and Log out.

The menu down the side holds your profile’s groups, such as Sales Processing, Inventory Processing, Journals and Setups. Groups fold and unfold, and Pin sidebar keeps the menu open.

At the top of the menu is the search box. Press Alt+Q from anywhere to jump to it, then type part of a page’s or report’s name. Each word you type starts a word of the name, in any order, so post inv finds Posted Sales Invoices and Posted Purchase Invoices; letters in order work too (pay jnl), and so do a name’s initials (psi). The last result, Search everything for …, searches records instead, such as a customer’s name or an invoice number.

The Role Center

Your home page. It shows the date and a greeting, your Reminders and Bookmarks, the Activity pane (a few lines on what has been going on in the business), and groups of tiles and charts. A tile is a page and how many records it has (open sales orders, say); a chart opens the entries behind it when you click it, and more charts wait under More charts.

To bookmark a page, click the star beside its name: a list keeps its filters, a card its record. The bookmark appears on the Role Center; click the star again to remove it.

Lists, cards and worksheets

Page typeWhat it showsExamples
ListMany records, one a rowCustomers, Sales Invoices, Item Ledger Entries
CardOne record, its fields in groups, a document’s lines belowCustomer Card, Sales Invoice, Assembly Order
WorksheetLines typed straight into a gridGeneral Journal, Item Journal, Cash Receipts
SetupOne record of settingsGeneral Ledger Setup, Inventory Setup

On a list, the first column’s value is a link that opens the card. The action bar has + New and Delete, then the groups Manage (with Select More, to tick several lines), Action (actions such as Post), Report and Navigate (related pages, and Attachments). Export to Excel saves the list as it is filtered.

On a card, each field saves when you leave it (Tab, Enter or a click elsewhere): there is no Save button. A new record is made once its required fields are filled. A teal asterisk after a caption marks a required field; a red asterisk inside an empty field marks one that should be filled before you post. Previous and Next move to the record before or after, and Back to list returns to the list.

Fields that look up another record (a customer, an item, an account) are drop-down lists that filter as you type, with Open and Go to List at their foot. Dates can be typed in short forms such as t for today: see Dates.

On a worksheet, such as a journal, choose the batch above the lines, then type each line; a new line is added on the blank row at the foot.

Filters

Filter opens the filter pane: Add filter, choose a field and type its filter. A column’s header menu has Filter to This Value, Filter… and Clear Filter, and sorts the list. Filters are short formulas:

FilterShows
C000001Exactly that value
1000..2000From 1,000 to 2,000
>100000More than 100,000
SALES|ADMINEither value
*bread*Text containing “bread”
t-7..tThe last seven days

The full syntax is in Filters.

Reports

A report’s request page has Options (such as dates, filled in with their defaults) and Filters on its records (Add filter), then Preview to read it on screen and Export To for PDF or Excel. It remembers the values you ran it with last.

Profiles

A profile is a role’s menu and Role Center: Accountant, Sales Manager, Administrator. Choose yours from your user button, under Profile. Changing profile changes what the menu offers, not what you may do.

Permissions

What you may read and change is set by permission sets, given to you on your User Card, directly or through User Groups. A permission set lists tables and whether its users may read, insert, modify or delete their records. Some come with Business Assistant:

Permission setGives
SUPERAccess to everything
AUDITORRead access to everything, changing nothing
CHATUsing the Chat, with the Assistant
REPORT DESIGNERMaking, sharing, importing and deleting report designs

Users, user groups and permission sets are kept in the Administrator’s User Management group. A page or action you aren’t allowed says so when you open it. In the training company you can open everything.
